Frequently asked questions
The questions we are asked most about Equerio, with short answers. They describe only what the application does today.

Twelve short answers
- Where is Equerio's data hosted?
- The database is in Paris, France. Files are stored under European Union jurisdiction. Processing runs on a server in Germany: documents pass through it only while they are being processed, and are not kept there. The artificial intelligence model is called in a European Union region: the processing server will not start with any other region. The model provider is contractually committed not to use your documents to train its models (Google Cloud's Service Specific Terms for AI services, “Training Restriction” clause).
- Who sees a project's documents?
- Each organisation has its own separate space. In a project, everyone sees according to their access: project lead, team member, full guest or restricted guest; the organisation's administrator sees all its projects. For a restricted guest, you hide domains (financial, procurement, security, legal): they see only the rest, and the documents they uploaded themselves.
- Do guests pay?
- No. Users and guests are unlimited: neither the members of your organisation nor guests — design team, engineering consultants, contractors — are counted. The price depends on the organisation and its active projects.
- Which files can be uploaded?
- All formats except programs, scripts, shortcuts and disk images, up to 200 MB per file. Text is read in PDFs, including scanned ones (by character recognition), in recent Word, Excel and PowerPoint documents (.docx, .xlsx, .pptx) and in text files. A format that cannot be read is filed from its name. Archives (ZIP, 7z) are unpacked, file by file.
- Which documents are entrusted to the artificial intelligence model?
- Only those that screening let through. Every document is screened first, without any model: a document whose classification marking is above the level your organisation allows is isolated, and a document that screening could not examine in full is never sent to a model. The model suggests the filing and, if reading is switched on for the project, reads the useful values.
- Where does a value in the project file come from?
- Each value keeps its origin: entered by a person, calculated, or read from a document, with the excerpt and the page it comes from. A value read from a document whose excerpt cannot be found there waits for approval, as every amount does. A value entered by a person is never replaced by a document.
- Does Equerio file documents on its own?
- No: it suggests a type, a name that follows the project's naming convention and a place in the file plan; a person confirms or corrects it in the review queue. Until it has been reviewed, a document does not count towards any expected document.
- Can the assistant be wrong?
- Yes: that is why each statement cites its source, a document and its page, or a value from the project file. The assistant answers only from the documents and the values in the project file that you can read; a statement without a valid source is removed before it is shown to you, and if it finds nothing, it says so. Sources are checked again each time the answer is shown: if you can no longer read one of those it read to answer, the whole answer is withdrawn. An inaccurate answer can be reported in one step. At most fifty questions per person and per project over twenty-four hours.
- Can an existing schedule be brought in?
- Yes: export it as a spreadsheet (.xlsx or .csv, up to 10 MB) from your scheduling software, then import that file. Rows copied from a spreadsheet can also be pasted into the schedule grid.
- Can I get my data back?
- Every document can be downloaded. The project sheet exports as a spreadsheet: the project file section by section, the progress of the phases, the expected documents and, if you can read it, the financial position. The portfolio analysis also exports as a spreadsheet. An export contains only what you can read.
- Is Equerio available in English, and on a phone?
- Yes: the whole application is available in French and in English. It is a web application that can be installed on a phone; on a small screen, the schedule shows the milestones and the late tasks.
- How are accounts protected?
- You sign in with a code received by email, or with a password; anyone can add a second factor, with an authenticator app. When you change a value, Equerio checks that it has not changed since you opened it: if someone else has changed it in the meantime, nothing is overwritten.
- How much does Equerio cost, and how can I see it?
- An organisation subscription of €150 excl. VAT per month, plus a fee for each active project based on its budget: €300 excl. VAT per month under €3m (tier S), €450 excl. VAT from €3m to €15m (M), €600 excl. VAT from €15m to €50m (L), price on request above (XL). Unlimited users and guests. With an annual commitment, two months are free: twelve months billed as ten. An archived project remains viewable and exportable free of charge for 12 months. Access to Equerio starts with a demo: write to contact@equerio.io.
